Responsibilities:

  • Establish and maintain document control procedures and systems to ensure efficient management of project documents and records.
  • Receive, review, and distribute incoming project documents, including drawings, specifications, contracts, and correspondence.
  • Organize and categorize documents according to project specifications, file formats, and naming conventions.
  • Maintain document registers, logs, and tracking systems to monitor the status and progress of project documentation.
  • Control document revisions, updates, and distributions to ensure stakeholders have access to the latest versions.
  • Collaborate with project teams to facilitate document review, approval, and sign-off processes in accordance with project timelines.
  • Perform regular audits and quality checks to verify the accuracy, completeness, and compliance of project documents.
  • Generate reports, metrics, and summaries to track document control activities and provide insights to project management.
  • Assist with document archiving, retention, and disposal activities in compliance with company policies and regulatory requirements.
  • Provide training and support to project team members on document control procedures and systems.

Requirements:

  • Bachelor’s degree in business administration, engineering, or related field.
  • Proven experience as a document controller or in a similar role.
  • Proficiency in document management software and systems (e.g., Microsoft SharePoint, Documentum, Procore).
  • Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  • Excellent attention to detail and accuracy in managing documents and records.
  • Effective communication and interpersonal skills.
